Operations Assistant

Who are we? 

About LabCentral:  

Founded in the heart of Kendall Square in 2013, LabCentral is a network of shared laboratory spaces and scientific communities that serve as a launchpad for high-potential life-sciences and biotech start-ups. We deliver first-class facility and operational support, skilled laboratory personnel, and an expansive events program designed to add value to the community and promote connectivity‒ as well as the other critical services and support that early-stage companies need to begin start-up operations.

Are you a problem solver who excels at linking resources and finding solutions? LabCentral is seeking an Operations Assistant who will report to our operations manager. This role is ideal for someone who loves delivering high-quality customer service, connecting people, and anticipating needs.  

 What will I do? 

Core Responsibilities 

Operational Support Tasks 

Café 

  • Maintain fully stocked cafes throughout the day, ensuring items in cabinets and fridges are always available 
  • Keep the storage areas organized and clean 
  • Communicate when backstock falls below PAR levels 
  • Track and submit invoices/receipts when needed 
  • Coordinate with vendors to schedule service as needed 
  • Place orders for additional product when primary is out of office 

Front Desk 

  • Cover the functions of the concierge/front desk when primary concierge is out of office or needs periodic coverage 
  • Maintain a welcoming lobby environment by receiving visitors for resident companies, answering the front desk phone, and connecting visitors and residents with resources and information  
  • Execute all front desk activities including greeting residents and guests, managing inbound communications and inquiries, and ensuring the appearance of the concierge space is maintained  

Building Operations 

  • Provide orientation and guidance to residents on using LabCentral’s spaces and communicating community policies  
  • Support the upkeep of the site, including performing multiple walkthroughs of the space daily to ensure common spaces remain in an orderly/functional state  
  • Maintain and order office supplies, including restocking printer stations and checking conference rooms to maintain proper inventory level of supplies for daily operations.   
  • Assist with space turnover tasks to ensure new residents have move-in ready spaces 
  • Additional support as appropriate to ensure smooth operations of the site  

 

What will I bring? 

Desired qualifications: 

  • At least one year of experience in a customer-facing role  
  • Comfortable with technology, including Microsoft Office Suite (especially Outlook), with bonus points for familiarity with Canva, Roomzilla, or SALTO 
  • Enjoy providing high-quality customer service and building strong relationships with residents, sponsors, colleagues, and partners  
  • Ability to maintain a professional presence while adapting to a fast-paced environment with constantly changing processes and priorities  
  • Strong communicator with keen attention to detail, organization, and efficiency  
  • Problem-solver and natural ability to take initiative   
  • Curiosity to learn the LabCentral community to learn our systems and processes    
  • Enjoy being part of a team, while being capable of working independently   

 

In your first six months, you will:   

  • Immerse yourself in day-to-day site operations   
  • Complete trainings and orientations with site operations teams  
  • Develop an understanding of the LabCentral community and interact with residents   
  • Learn our systems and provide feedback on how you might improve them 
  • Support every core function of the operations team  

Work environment: 

  • Fully onsite in Cambridge, MA Monday-Friday with a start time of 8:00AM  
  • Ability to sit for long periods, ability to move around an office environment, and ability to communicate information and ideas so others will understand  
  • Ability to lift and carry a minimum of 25 pounds

Compensation   

Our compensation philosophy is intentional and researched to align with average market salaries; comprehensive, generous benefits to support overall well-being; and parity with our existing and future team members. Below details the value of what our compensation package may look like, but specific details pertaining to an individual will vary.      

Salary range: $50-52k along with the potential to earn a bonus of 5% based on company performance.     

Approximate monetary value of benefits (based off an individual – dependents increase value): $22,000.
